How we collect, use and protect your personal data.

1. Who We Are

Total Tradesmen is a product of Innowave Systems Ltd, registered in England and Wales.

We are the data controller for personal data that we collect and process through our platform and website, except where we act as a processor on behalf of a Total Tradesmen customer in relation to that customer’s business data.

2. What Data We Collect

Depending on how you use Total Tradesmen, we may collect and process:

Account data

Name, email address, telephone number, username, company name and other business details provided when creating or managing your account.

Business data

Customers, jobs, quotes, invoices, suppliers, scheduling information, forms, certificates and other information that you or authorised users enter into the platform.

Trade Partner data

If you choose to use the optional Trade Partners feature, we may process business information that you choose to make available to other Total Tradesmen users. This may include your business name, trade categories, contact details, logo, location and other information you choose to include in your Trade Partner profile.

Job request data

If you enable the option to receive job requests, we may process information relating to job requests sent to or received by your business, including the details of the request, responses, comments, pricing information and related communications.

Payment data

Billing and subscription information. Payment card details are processed through our authorised payment providers and are not intended to be stored within ordinary Total Tradesmen customer, job or other business data fields.

Technical data

IP address, browser type, device information, operating system, login information and usage information relating to your use of the platform.

Communications

Support requests, enquiries and other communications you send to us.

3. How We Use Your Data

We may use personal data to:

  • provide, operate and maintain the Total Tradesmen platform
  • create and manage your account
  • provide the features and services you request
  • process subscriptions, payments and billing
  • provide customer support
  • send service-related communications
  • maintain the security and integrity of the platform
  • monitor, troubleshoot and improve platform performance
  • provide optional features such as Trade Partners and job requests where you choose to use them
  • comply with legal and regulatory obligations
  • protect our rights, users, systems and business

Where you choose to make your business information available through Trade Partners, we use that information for the purpose of displaying your selected information to other Total Tradesmen users so that businesses can discover and connect with potential trade partners.

4. Trade Partners And Business Visibility

Trade Partners is an optional feature.

Your business is not automatically listed as a Trade Partner simply because you have a Total Tradesmen account.

If you enable your Trade Partner listing, the information you choose to make available may be displayed to other Total Tradesmen users.

You can disable your Trade Partner listing at any time through your account settings.

You may also have the option to enable or disable the ability to receive job requests from other Trade Partners.

If you enable job requests, other eligible Total Tradesmen users may be able to send job requests to your business through the platform.

If you disable your Trade Partner listing, your business will no longer be available for discovery through the Trade Partner feature, subject to reasonable technical processing time required to update or remove information from the service.

Information exchanged through Trade Partners is used to facilitate business-to-business communication and potential work opportunities between users.

Total Tradesmen does not guarantee that participation in Trade Partners will result in enquiries, job requests, work, referrals or other business opportunities.

5. How We Protect Your Data

We use appropriate technical and organisational measures designed to protect personal data against unauthorised access, loss, misuse, alteration or disclosure.

These measures may include:

  • encryption in transit
  • encryption at rest
  • access controls
  • role-based permissions
  • authentication and account security measures
  • automated backups
  • monitoring and security controls
  • measures designed to restrict unauthorised access to customer data

No internet-based service can guarantee absolute security.

You are also responsible for keeping your account credentials confidential and ensuring that authorised users within your business use the platform appropriately.

6. Data Retention

We retain personal data for as long as reasonably necessary to provide the service, maintain appropriate business and financial records, comply with legal obligations, resolve disputes and enforce our agreements.

Where you cancel your account, we may retain certain information for a reasonable period for these purposes.

Business data may be subject to separate retention, deletion and backup processes.

Where data is deleted from an active account, copies may remain temporarily within secure backups before being overwritten or securely deleted in accordance with our backup processes.

7. Third-Party Services

We use third-party providers to help provide and operate Total Tradesmen, which may include:

  • Stripe – payment processing and subscription billing
  • Xero – optional accounting integration
  • Twilio – optional SMS services
  • SendGrid – transactional email delivery
  • Microsoft Azure – cloud infrastructure and hosting

The use of optional third-party integrations may involve the transfer of information necessary to provide the relevant integration.

Our website may also use analytics and advertising services such as Google Analytics, Hotjar, Google Ads and Meta where applicable and where you have provided the required consent. See our Cookie Policy for details and to manage your choices.

Third-party providers may process personal data in accordance with their own privacy policies and contractual obligations.

Where personal data is transferred outside the UK, we will take appropriate steps and safeguards required by applicable data protection law.

8. Lawful Basis For Processing

Depending on the circumstances, we may process personal data because:

  • it is necessary to perform our contract with you
  • it is necessary for our legitimate interests, such as operating, securing and improving the service
  • you have provided consent where consent is required
  • processing is necessary to comply with a legal obligation
  • another lawful basis applies under applicable data protection law

Where we rely on consent, you may withdraw that consent at any time, although this will not affect processing that took place before withdrawal.

9. Your Rights

Under applicable UK data protection law, you may have the right to:

  • access your personal data
  • correct inaccurate or incomplete personal data
  • request deletion of your personal data
  • restrict certain processing
  • object to certain processing
  • request portability of certain personal data
  • withdraw consent where processing is based on consent

We may update this Privacy Policy from time to time to reflect changes to the Total Tradesmen platform, our services, legal requirements or the way we process personal data.
